Peel Children’s Centre is recruiting for the exciting new position of Clinic Coordinator. This position requires a dynamic and positive personality with strong organizational skills and a client centred focus. The incumbent must thrive in a fast-paced environment of constant change and must enjoy being involved in developing this exciting new role within the organization.

Reporting to the Manager, Clinical Services, the Clinic Coordinator will develop and coordinate standard schedules within various Clinical Programs. Acting as the point of first contact for scheduling clients, the Clinic Coordinator role will enable an overall easier experience for clients and their families whereby they can more easily schedule, reschedule and cancel appointments by getting in touch with a single individual. The clinic coordinator will prepare clients and their caregivers with relevant information and resources to help ensure a person centred approach to setting up for success in treatment. This position is responsible for coordinating clinicians’ schedules to ensure clinical time optimization, the booking of client appointments and flexibility when requested by the client, along with oversight to various program waitlists. The role will require data entry into our automated appointment reminder system which will send automated electronic based appointment reminders to clients/caregivers. The position will also provide clients/caregivers with information about waitlist status, change in mental health status, relevant resources and how to access them all in supporting our clients / caregivers to have clarity on what to expect while waiting and how to find relevant resources as needed. The Clinic Coordinator will additionally teach/support clients’/caregivers’ access to PCC-vetted digital apps that provide mental health support while waiting for formal services to begin and explain how these can be used with potential to integrate into treatment plans with clients and their families.

Annual Salary Range - $48,119.52 - $56,304.31 (5 step range)

This is a full time position with a generous total rewards package of 4 weeks’ vacation in the first year, personal leave, group life/LTD/health/dental benefits that are fully employer paid and a defined contribution pension plan.

Knowledge, Skills & Experience
  • Bachelor’s degree in Health Information Technology, Business Administration or other Health related field.
  • Minimum of 3 years of experience in client/patient scheduling or equivalent experience working in an environment that required standardized scheduling.
  • Strong technology skills in understanding and use of scheduling systems and apps, electronic calendar systems and booking systems.
  • Demonstrated experience with scheduling software, scheduling apps and booking systems
  • Specific high-level administrative skill set and exceptional customer service that is culturally attuned to clients ‘and their family’s needs is required.
  • Possess a strong ability in building trust with clinicians and the Clinical Supervisors.
  • Demonstrated ability to remain professional and unbiased to ensure effective and efficient operations of the clinic are sustained at all times.
  • Excellent strong verbal interpersonal, listening and written communication skills.
  • Ability to communicate with internal and external stakeholders with diplomacy and tact
  • Ability to work in a team environment and to collaborate with a variety of individuals in a positive manner.
  • Proven ability to work with client information databases or systems.
  • Ability to prioritize and multi task.
  • A satisfactory vulnerable sector police records check and pre-employment medical screening is required prior to the commencement of employment
