As an important member of a dynamic and multi-disciplinary team, the Receptionist/Secretary provides the first contact for clients, their families and the general public - ensuring that visitors are greeted either by phone or in person in a manner that is welcoming and caring. Your passion for people and excellent interpersonal skills are complemented by strong computer skills, Dictaphone, and writing skills. You will provide a wide range of support to ensure efficient operation of the Centre’s services. All duties are performed in keeping with the Centre’s Mission Statement, Philosophy, Values, Policies, Procedures and Accreditation Standards.

The hourly relief rate for this position is $19.37 per hour, plus 4% base salary in lieu of benefits and 4% base salary in lieu of vacation time.


Job responsibilities.
  • Provide reception services to PCC main office in Mississauga.
  • Greet all members of the public, including visitors, service providers and clients arriving for appointments, connect families/clients with the appropriate staff, respond to routine inquiries and handle situations as they arise
  • Coordinate room bookings for various programs and monitor waiting room activity.
  • Answer multi-line central telephone system by answering general queries, directing calls, and using judgment to handle various situations as they arise (volunteers drivers, clinician issues, clients in distress).
  • Distribute incoming electronic correspondence from the Agencies’ general inbox to various departments.
  • Provide Administrative support for the Agencies’ major events.
  • Coordinate purchasing for all general office supplies and household supplies for onsite/offsite locations (stationery and toner supplies), liaise with Finance and other departments.
  • Coordinate with external and internal sources for office and property management activities including liaising with maintenance service providers.
  • Coordinate the maintenance of the general office equipment within the main office and off-site (i.e. conduct service calls for photocopiers, fax machine, postage, folding machine, shredders etc.)
  • Provide support to the Communications department by maintaining the database of community partners, handling internal and external requests for promotional materials
  • Extract data from the Agencies’ database and create spreadsheets to conduct mass mailings
  • Support the communications team in the production of program materials.
  • Provide specialized administrative support to various departments within the agency as assigned.


Skills and Qualifications:
  • College Diploma in Office Administration, or an equivalent combination of education and experience in administrative roles;
  • Minimum of three years experience in an administrative support role;
  • Previous experience in a social services or health care non profit setting would be an asset;
  • Demonstrated proficiency with Microsoft Office Suite programs at an intermediate to advanced level i.e. Word, Power Point, Excel and Outlook;
  • Bilingualism (English/French) is an asset.
  • A proven record in dealing with confidential information;
  • The ability to transcribe dictated psychiatric reports;
  • Advanced data entry skills;
  • Organizational and communication skills;
  • The ability to work independently and as part of a Team.
  • A satisfactory Vulnerable Sector Criminal Record check required.
  • Ability to work day shifts and evening shifts.
